What missed calls really cost a UK plumbing business

Nobody with a leak leaves a voicemail. They ring the next plumber. Here is what that adds up to over a year.

A plumber cannot answer the phone with their hands inside a boiler, under a sink, or halfway up a loft ladder. That is not a scheduling problem you can fix by trying harder, it is the job. The phone rings while you are working, and the person ringing has a leak, no heating, or no hot water.

They will not leave a voicemail. They ring the next name on the list.

Why a missed call costs a trade more than most

In a salon a missed call is a £30 cut. In plumbing and heating the range is enormous, and the big ones hide inside ordinary enquiries. A dripping tap is £80. A power flush is a few hundred. A boiler replacement is £2,000 to £4,000, and it usually starts with exactly the same call: "the boiler is making a noise, can someone come and look?"

You cannot tell which call is which until you answer it. That is the whole problem: every missed call is potentially the £3,000 one.

The simple maths

Three numbers you already know:

Miss four calls a day, a third would have booked, at £250 average: that is one job a day, around £250, roughly £5,000 a month in work that rang and went elsewhere. One recovered boiler install on its own pays for a year of answering.

The evening and the cold snap

The calls most worth catching arrive when you are least able to answer. A burst pipe at 9pm, no heating on the first frost of the year, a landlord ringing on a Sunday. These are the highest-intent calls you will ever get, because the caller has an emergency and no patience, and they are exactly the ones that reach voicemail.

Why the usual fixes fall short

Voicemail is the worst option: most people hang up, and the ones who do leave a message have already rung somebody else by the time you hear it. An answering service takes a message but does not know your trade, your area or your prices. A partner or family member taking calls works until it does not, and it is not a business you could sell or scale. Lead sites like Checkatrade and MyBuilder charge per lead for work you then still have to win.

What answering every call actually looks like

An AI receptionist for plumbers and heating engineers answers on the rings you cannot, finds out what the job is, where it is, how urgent it is and how to get in, then texts the lot to you. It marks the emergencies so you see them immediately rather than in the morning.

The predictable work it books outright. An annual boiler service or a gas safety certificate is a fixed job at a fixed price you set, so it goes straight into your diary against your real availability. That is the recurring work landlords have to rebook every year, and it is the easiest of it to lose.

What it deliberately will not do is quote a job nobody has looked at. No system should invent a price for work it has not seen, and a caller told a wrong number on the phone is an argument waiting to happen on your driveway. It gathers what you need to price properly and tells the customer you will come back to them.
