Home / Industries / Heating & Gas Engineers

The AI phone receptionist for heating & gas engineers.

The first cold snap of the year, and your phone rings while you are halfway through a boiler strip-down. Ringmere answers, books the annual services and gas safety checks you can price in advance, and passes breakdowns to you with the boiler make, the address and how urgent it is.

The missed-call problem

Sound familiar?

  • Breakdown calls stacking up the week the heating goes on
  • Landlords chasing a gas safety record before a tenancy starts
  • Annual service customers who drift to whoever answers first

Every one of those is a booking walking to a competitor. Ringmere answers before it does.

How Ringmere helps heating & gas engineers

Answer, book, and hand you the rest.

Answers your calls, 24/7

First-ring pickup, evenings and weekends included, so callers get a real answer instead of voicemail.

Books the services, logs the breakdowns

Books annual services and gas safety checks into your diary with the boiler make and age, and takes breakdowns as urgent jobs for you to call back.

Escalates what matters

Urgent, clinical or unhappy callers go to your team immediately, with full context.

It answers messages too: on Growth and Pro, customers can WhatsApp or text your business and the same receptionist replies, books and takes orders.

Call by call

Every call a heating engineer gets.

Heating work is half calendar and half crisis: services booked months ahead, breakdowns that cannot wait. This is what Ringmere does with the calls that come in while you are on a job.

The callWhat Ringmere does
“My boiler service is due”Books it into a real slot at your price, with the address, postcode and the boiler make and age in the notes. If you switch on text confirmations, the customer gets one by text.
A landlord who needs a gas safety record before FridayBooks the check at the rental address, notes who is letting you in, and passes a list of several properties to you as one message to schedule.
No heating, no hot water, a fault code on the displayTaken as an urgent job with the boiler make, the fault code and the address, and sent to you by text and email or put through live, as you have set it up. It never diagnoses.
A caller who says they can smell gasNo safety advice of its own. Ringmere is told to escalate emergencies to you straight away, and it gives the National Gas Emergency number, 0800 111 999, once you have added it to your approved answers and tested it with a call.
“How much for a new combi?”Never priced on the phone. It takes the property, the current boiler and what the caller wants, and books a survey visit if you list one.
“Is the engineer still coming today?”Taken as a message with the caller’s name and address and passed to you, because Ringmere does not see where you or your van are.
The first cold Monday of autumnPicked up from the first ring, so callers are answered by a receptionist rather than going to voicemail while you are in a loft.

An example call

Written to show how a call goes, using sample services and prices; not a recording.

Caller: Hi, my boiler service is due next month. Have you got anything early in the morning?

Ringmere: Yes. I have Tuesday the 14th at 8am or Thursday the 16th at 9am. An annual service is £90 and takes about an hour. Which suits you?

Caller: Thursday at nine. The pressure keeps dropping too, can he look at that?

Ringmere: I’ll add a note about the pressure so Dave can look while he’s there, and he’ll talk to you about any work before he does it. What make is the boiler, and roughly how old?

Caller: It’s a Worcester, about ten years old.

Ringmere: Thanks. And the address with the postcode?

Caller: 22 Station Road, LS6 2AB.

Ringmere: Lovely. That’s booked: annual service on Thursday the 16th at 9am at 22 Station Road, with a note about the pressure. Can I take your name?

Questions from heating & gas engineers

Good to know.

What happens when a caller says they can smell gas?
Ringmere never gives gas-safety advice of its own. It is told to escalate emergencies to you straight away: a live transfer to your phone if you switch it on, or a text and email with the caller’s number. Write in your setup notes that a gas smell or a carbon monoxide worry is an emergency for you, and add the National Gas Emergency number (0800 111 999, free and open 24 hours in Great Britain) to your approved answers so it can give it. Then test that with a call before you rely on it.
What does it ask about the boiler?
The full address with postcode, and the boiler make and roughly how old it is. Those go into the booking notes, for example “Boiler: Worcester, about 2015”, so you know which parts and manuals to have on the van before you knock.
Can it book landlord gas safety checks?
Yes, as a fixed service at your price. It books the visit at the property address, takes the landlord’s name and number, and notes who will let you in if the caller tells it, whether that is the tenant, an agent or a key safe. A letting agent with a list of properties can leave the addresses and deadlines as a message for you to schedule.
Will it diagnose a breakdown or quote a repair?
No. It takes what the caller can tell it, such as no heating or no hot water, any fault code on the display and the boiler make, and passes it to you to call back. It never guesses at a fault or names a price for a repair nobody has looked at.
Can it tell callers we are Gas Safe registered?
Yes, if you put it in your approved answers, along with your registration number, the areas you cover and the boiler brands you fit or service. It only repeats what you have written, so check it is current.
What does an AI receptionist cost for a heating engineer?
Ringmere is £49 a month on Starter, with 150 call minutes and a UK number included, £99 on Growth and £249 on Pro, each with a 7-day free trial. For scale, if two calls a week that ring out would have booked a £90 boiler service, that is about £780 a month, before counting a single new boiler enquiry.
What should it never do?
Tell a caller whether an appliance is safe to use, talk anyone through turning off their gas, judge whether a smell or an alarm is serious, or promise an engineer by a time you have not agreed. Anything about safety goes to you, and the caller is given the National Gas Emergency number only if you have added it to your approved answers.
Is Ringmere an answering service for heating & gas engineers?
Yes, and a virtual receptionist too. Like an answering service, it picks up your calls 24/7 under your business name. Like a virtual receptionist, it answers questions, takes messages and books appointments straight into your diary. Because it is an AI receptionist it costs from £49 a month, never puts a caller on hold, and on Growth and Pro replies on WhatsApp and text as well.
