UK small service businesses routinely miss around one inbound call in five, and most callers who reach voicemail book elsewhere rather than call back. Modelled conservatively, that puts £1,500 to £9,000 a month of bookings at stake on a single phone line, depending on sector. This report shows the workings, sector by sector.
Key findings
- The UK has about 5.5 million private sector businesses, and the overwhelming majority are micro-businesses with no dedicated receptionist, so the person answering the phone is the person doing the work.
- Long-cited BT Business research puts the miss rate for small businesses at roughly one call in five; most callers who hit voicemail do not leave a message, they ring the next business on the list.
- A single-site salon has around £5,700 a month in bookings at stake; a garage over £9,000; a private clinic roughly £5,000; a dental practice about £1,500 a month in first-year patient value.
- The calls a business misses are worth more than average, not less: evening, weekend and new-customer calls cluster exactly when nobody can answer.
- At £110 for a typical plumbing call-out and £3,000 for the boiler job behind it, a tradesperson’s missed call has the widest value range of any sector we modelled.
Where the numbers come from
Three kinds of source went into this report. Official statistics set the scale: the Government’s Business Population Estimates for business counts, the DVSA annual report for the 42.5 million MOT tests that keep garage phones ringing, and the NHBF’s industry statistics for the UK’s 61,000+ hair and beauty businesses. Public price benchmarks set the booking values, such as Checkatrade’s cost guides for trades. Our own sector guides supply the worked examples, and every one uses the same deliberately conservative rule: assume only half of missed callers would have booked, and take the low end of each price range.
We would rather be usefully cautious than impressively wrong. If you believe any figure here is off, email info@ringmere.com with your source and we will correct it and credit you.
Revenue at stake, sector by sector
| Sector | Typical booking value | Modelled revenue at stake | Full workings |
|---|---|---|---|
| Hair & beauty salons | £40 to £120, avg £55 | About £5,700 a month | Salon maths |
| Garages & MOT centres | £150 average booking | Over £9,000 a month | Garage maths |
| Private GP & clinics | £180 first episode | About £5,000 a month | Clinic maths |
| Veterinary practices | £55 average visit | Over £3,000 a month | Vet maths |
| Aesthetics & skin clinics | £250 per treatment | Over £3,000 a month | Aesthetics maths |
| Physio & chiropractic | £275 per course | Over £1,000 a week | Physio maths |
| Dental practices | £250 first-year value | About £1,500 a month | Dental maths |
| Barbershops | £20 visit, regulars £300+ a year | About £80 per busy day | Barber maths |
| Plumbers & heating | £200 to £400 average job | Every missed call risks the £3,000 one | Trades maths |
Two things stand out across every sector. First, the monthly figures dwarf the cost of any fix: the gap between a £49 a month answer and a £5,700 a month leak is not a close call. Second, the loss is invisible. A missed call leaves no record, no complaint and no line in the accounts, which is exactly why it survives year after year in businesses that watch every other cost.
Why the phone goes unanswered
The miss pattern is structural, not a staffing failure. Calls cluster mid-appointment, over lunch, in the last hour before close and out of hours, and the smaller the team, the more exactly those peaks coincide with the moments nobody can pick up. Our guide on how to stop missing business calls walks through the fix in three steps, starting with the free ones.
The national picture
We deliberately do not publish a single national headline figure, because it would be built on assumptions stacked three deep. What we will say is this: with about 5.5 million private sector businesses in the UK, if even a modest fraction are appointment-led and each has four figures a month at stake, the national cost of the unanswered phone is measured in billions, and it lands hardest on the smallest businesses.
