The AI receptionist that books into Outlook.

Ringmere answers the call, checks your Outlook calendar for when you are really free, and puts the appointment in it before the caller hangs up. Personal Outlook.com and work Microsoft 365 accounts both work, on every plan.

Ringmere connects to Outlook and Microsoft 365 calendars so its AI receptionist can book appointments during a phone call. It checks your free and busy times first, so it will not offer a slot that is already taken, then creates the event with the customer’s name, number and notes. Reschedules and cancellations made on a call move or remove the same event. It is included on every plan, from £49 a month.

How it works

Connected in a minute, working on the next call.

Connect your Microsoft account

In Settings, open Calendar and choose Connect Outlook / Microsoft 365. Ringmere asks Microsoft for permission to read and manage your calendar, and to stay connected so it can keep booking while you are offline. The app is from a Microsoft-verified publisher.

It checks before it offers

On every call it reads your free and busy times and offers only slots that are free, inside your opening hours, with your buffers and minimum notice applied. Tentative and out-of-office time counts as busy. It checks again at the moment of booking.

The booking lands in your diary

The event appears with the service and the customer’s name as its subject, and their phone number and any notes in the body. If the notes include a UK postcode, it becomes the event location.

What it does

  • Books, reschedules and cancels during the call, and moves or removes the same Outlook event each time.
  • Adds a Microsoft Teams link to each booking if you switch that on, and sends the link in the customer’s confirmation text. Teams links need a work Microsoft 365 account; on a personal Outlook.com account the booking is still made, without a link.
  • Respects a minimum notice, so nobody books a slot twenty minutes from now, and keeps the buffer you set on each service clear between its own bookings.
  • We check every day that upcoming bookings still match your calendar, so one that has gone missing is spotted on our side. A booking you moved or deleted yourself is left as you set it.

Good to know

  • It sees when you are busy, not what you are doing. Ringmere reads free and busy times from your calendar, not the subject or content of your appointments, and it only ever changes its own bookings.
  • It fails safe. If your calendar cannot be read, Ringmere offers no times rather than risk a double booking, and carries on answering and taking messages. If Microsoft stops accepting the connection, for example after a password change, you are emailed once so you can reconnect.
  • One calendar per business. Ringmere reads and writes your mailbox’s main calendar. Checking extra calendars for busy time, and the travel gap around them, are on the Google Calendar connection only for now. A business connects Google or Outlook, not both.
  • Set your Outlook time zone to your local one (Settings, then Calendar, then Time zones in Outlook) so times line up.
  • Your Microsoft sign-in is never shared with our AI provider, the stored token is encrypted, and disconnecting deletes it at once. You can also remove Ringmere from your Microsoft account at any time. The detail is in our privacy policy.

Questions

Outlook, plainly answered.

Does Ringmere work with Outlook?
Yes, on every plan. Connect your Outlook or Microsoft 365 account in Settings and the AI receptionist books appointments straight into your calendar during the call, after checking your free and busy times.
Does it work with a personal Outlook.com account?
Yes. Personal Outlook.com accounts and work or school Microsoft 365 accounts both connect. The only difference is the optional Teams meeting link, which needs a work account.
Can it double-book me?
It is built not to. It reads your free and busy times before offering a slot and checks again at the moment of booking. If your calendar cannot be read at all, it stops offering times rather than guessing.
Can I connect Google Calendar and Outlook at the same time?
No, a business connects one calendar. If you switch from one to the other, Ringmere offers to add your upcoming bookings to the new calendar so nothing is left behind.
What can Ringmere see in my calendar?
When you are busy. It reads free and busy status and times, not the content of your appointments, and it only ever creates, changes or cancels its own bookings.
