Home / Industries / Tutors & Tuition Centres

The AI phone receptionist for tutors & tuition centres.

Parents tend to ring after school, which is exactly when you are teaching. Ringmere picks up, takes the subject, exam board and year group, and books the assessment or the first lesson into your diary.

The missed-call problem

Sound familiar?

  • Parents calling after school while you are mid-lesson
  • Mock and exam season enquiries that go to the first tutor to answer
  • Cancellations and swaps that take an evening of texting

Every one of those is a booking walking to a competitor. Ringmere answers before it does.

How Ringmere helps tutors & tuition centres

Answer, book, and hand you the rest.

Answers your calls, 24/7

First-ring pickup, evenings and weekends included, so callers get a real answer instead of voicemail.

Books lessons by subject and tutor

Checks the right tutor’s availability, books the lesson or free assessment, and saves the subject, level and year group with it.

Escalates what matters

Urgent, clinical or unhappy callers go to your team immediately, with full context.

It answers messages too: on Growth and Pro, customers can WhatsApp or text your business and the same receptionist replies, books and takes orders.

Call by call

Every call a tutor gets.

A tutor’s phone is busiest in the hours they are teaching. This is what Ringmere does with the calls that come in between 4pm and bedtime.

The callWhat Ringmere does
A parent looking for GCSE help before the mocksAnswers what you have approved, such as your subjects, prices and whether lessons are online or in person, takes the exam board and year group, and books a free assessment or the first lesson.
“Do you do 11+?” or “are your tutors DBS checked?”Answered from the FAQs you approve. If it is not in what you have written, it says so and takes a message rather than guessing.
A student who wants the same slot every weekBooks the next lesson and passes the request for a regular slot to you, so the weekly arrangement is yours to confirm.
Cancelling or moving tonight’s lessonHandled on the call within your cancellation rules, so the slot is free for the next family.
A place on a small-group revision sessionTells the caller how many places are left and books them in. A full session is not offered.
A worry about a student’s wellbeingEscalated to a person straight away with the caller’s number. Ringmere does not advise.
School holidays and the run-up to examsAnswered the same way, so the families planning revision over Easter reach you rather than a voicemail.

An example call

Written to show how a call goes, using sample services and prices; not a recording.

Caller: Hi, my son’s in Year 11 and struggling with maths. Do you have anyone for GCSE?

Ringmere: Yes, we tutor GCSE maths, and lessons are £35 an hour. Which exam board is he with?

Caller: AQA, I think. Higher tier.

Ringmere: Thanks. We start with a free 30-minute assessment so the tutor can see where he is. I have Tuesday at 5pm or Thursday at 6pm.

Caller: Thursday at six.

Ringmere: Lovely. Can I take your name, and your son’s?

Caller: Claire Morgan, and he’s Josh.

Ringmere: Thanks, Claire. Josh is booked for a free maths assessment on Thursday at 6pm, noted as Year 11, AQA higher tier.

Questions from tutors & tuition centres

Good to know.

What does it ask a parent?
The subject and the level or exam board, the student’s year group, and the parent’s name and number. Those answers are saved with the booking, so you know who you are teaching before they arrive.
Can it match a student to the right tutor?
At a centre with several tutors, it books the tutor the parent asks for, or one who teaches that subject, within that tutor’s hours. Diaries for more than one tutor are on Growth and Pro.
Can it book a regular weekly lesson?
It books the first lesson into your diary and takes the request for a regular slot as a message, so you confirm the ongoing arrangement yourself.
Does it handle small-group sessions?
Yes. Set a session up with a number of places and it tells the caller how many are left, books more than one child at once, and does not offer a session that is full.
Will it talk about a child’s progress or wellbeing?
No. Questions about progress go to the tutor as a message. Anything that sounds like a safeguarding concern is escalated to a person straight away, and Ringmere gives no advice of its own.
Can it take payment for a block of lessons?
No. Ringmere does not take payments on the phone. It explains your terms as you have written them, such as paying for a half-term block in advance, and you invoice the way you do now.
What does an AI receptionist cost for a tutor?
Ringmere is £49 a month on Starter, with 150 call minutes and a UK number included, £99 on Growth and £249 on Pro, each with a 7-day free trial. For scale, an illustration only: one missed parent who would have booked a weekly £35 lesson for the school year is more than £1,000 of lessons gone with a single call.
Is Ringmere an answering service for tutors & tuition centres?
Yes, and a virtual receptionist too. Like an answering service, it picks up your calls 24/7 under your business name. Like a virtual receptionist, it answers questions, takes messages and books appointments straight into your diary. Because it is an AI receptionist it costs from £49 a month, never puts a caller on hold, and on Growth and Pro replies on WhatsApp and text as well.
